Going paperless without losing the paper trail

Every few years an office declares it's going paperless, buys a scanner, and mostly gives up by spring. The projects that stick share a common insight: the goal isn't zero paper, it's making the digital copy authoritative.
Decide what the source of truth is
Once the scanned or born-digital file is the official version, paper becomes a convenience — something you print to read on the train and recycle after. That mental shift is most of the work. The scanner is the easy part.
Keep the paper you're required to keep
Some records have retention rules that still expect a physical original. A paperless system doesn't ignore those; it just shrinks the pile to the genuinely necessary and keeps the rest searchable and backed up.
